Senior Ocean Import Coordinator
Position Overview
We are seeking an experienced
Senior Ocean Import Coordinator to join a well-established international freight forwarding operation. The successful candidate will manage end-to-end ocean import shipments, ensuring efficient cargo movement, accurate documentation, customs compliance, and exceptional customer service.
This position requires strong knowledge of international ocean freight operations, the ability to manage complex shipments independently, and
hands-on proficiency with CargoWise.
Key Responsibilities
Ocean Import Operations
- Coordinate international ocean import shipments, including FCL and LCL cargo, from origin through final delivery.
- Manage shipment bookings, arrival notices, cargo releases, delivery instructions, and transportation arrangements.
- Liaise with overseas agents, steamship lines, customs brokers, rail providers, and trucking companies to ensure timely cargo movement.
- Monitor shipment milestones, vessel schedules, container availability, and delivery timelines.
- Coordinate customs clearance, container pickups, deconsolidation, and final-mile delivery.
- Proactively resolve shipment delays, documentation discrepancies, and operational challenges.
- Monitor container free time, demurrage, detention, and storage charges to minimize unnecessary costs.
Customs Compliance & Documentation
- Prepare, review, and process ocean import documentation, including Bills of Lading, arrival notices, cargo control documents, and delivery orders.
- Prepare and submit ACI E-Manifests and coordinate re-manifesting and bonded cargo movements when required.
- Ensure compliance with CBSA regulations, customs procedures, and international shipping requirements.
- Coordinate with customs brokers to facilitate timely cargo clearance and release.
- Maintain accurate shipment records and documentation in accordance with company procedures.
CargoWise & Shipment Administration
- Utilize CargoWise to manage ocean import files, shipment milestones, documentation, and operational workflows.
- Ensure accurate and timely entry of shipment details, costs, charges, and customer information.
- Prepare customer invoices, review vendor charges, and support shipment profitability.
- Generate shipment reports and maintain accurate operational records.
Customer Service & Coordination
- Serve as a primary point of contact for customers, providing proactive shipment updates and resolving inquiries.
- Develop strong working relationships with clients, overseas agents, carriers, and service providers.
- Manage key accounts and ensure customer-specific shipping instructions and service requirements are met.
- Collaborate with internal Operations, Sales, and Accounting teams to support seamless service delivery.
- Provide guidance and operational support to junior coordinators as required.
Qualifications & Experience
- Minimum 3–5 years of ocean import experience within an international freight forwarding environment.
- Mandatory hands-on experience with CargoWise.
- Strong knowledge of FCL/LCL ocean imports, Canadian customs procedures, and international freight forwarding operations.
- Experience with ACI E-Manifests, CBSA requirements, cargo control documentation, and bonded shipments.
- Familiarity with ocean carriers, CN/CP rail operations, trucking coordination, and container management.
- Solid understanding of Incoterms, freight rates, shipping documentation, and import procedures.
- Experience managing shipment costs, customer invoicing, and vendor billing.
- Excellent communication, organizational, and problem-solving skills.
- Ability to independently manage multiple shipments and competing priorities in a fast-paced environment.
- Strong attention to detail and a proactive, customer-focused approach.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- CIFFA certification or relevant post-secondary education in Logistics, Supply Chain Management, or International Trade is an asset.
